Messages such as “nearly there” mean different things to different travellers. You may still be on the aircraft while the person arranging your Davos transfer assumes you are outside. A simple sequence of factual updates reduces this uncertainty without asking you to keep typing through every airport procedure.

Before travel: agree who sends the update

Choose one person in the party to communicate with dispatch. That person should have the booking reference and the actual driver contact when supplied. If another traveller has arranged the transfer, ask them to introduce the arriving contact before the flight. Avoid sending different versions of the same update through several family members. One agreed sender makes it easier to know whether a message refers to the whole party or only one passenger.

Message one: landed, still completing arrival

After you can use your phone, state that the aircraft has landed and that you are still completing arrival formalities. This confirms progress without implying readiness to leave. Add a meaningful exception if necessary, such as waiting for an assistance handover. Do not promise a departure minute you cannot control. The flight status and your passenger status describe different stages, so a landing notification alone should not be treated as permission to begin the pickup.

Message two: baggage situation is clear

Once you know whether the party has all its checked items, give a short update. “All bags collected” is more useful than “coming soon”. If a case is missing, say that you are speaking with the baggage service and cannot yet leave. The transfer team can then discuss any consequences for the agreed arrangement. There is no need to send photographs of baggage tags or personal documents unless the relevant service specifically requires them.

Message three: ready at the agreed point

Confirm that everyone is together and identify the meeting location in the words used in your pickup instructions. At Zurich Airport, the official pickup information distinguishes Arrival 1 and Arrival 2. A statement such as “outside the airport” leaves too much ambiguity. If you are at a different location, describe it and wait for a clear revised instruction before walking elsewhere. Moving while the driver is locating you can create an unnecessary loop.

Keep changes and emergencies separate

For a routine delay, keep the update factual and include the request reference. For an urgent problem affecting safety or medical needs, contact the appropriate airport or emergency service first; a transfer chat is not an emergency response channel. If a phone battery fails, another party member should have the contact details saved. Before the road journey starts, check that the dispatcher and passenger agree the party is complete and the intended destination remains unchanged.

Questions about this journey

Do I need to message during every queue?

No. Send meaningful status changes and any issue that prevents you reaching the agreed meeting point.

Does “landed” mean the car can leave immediately?

No. Passenger arrival procedures and baggage collection still need to be completed.

Should everyone in the group contact the driver?

Use one travelling coordinator unless the transfer team asks for a different arrangement.
