An executive’s WEF diary may contain commercial discussions, private contact details and background notes that are irrelevant to the car journey. Sending the whole calendar to organise transport creates unnecessary complexity as well as avoidable disclosure. Prepare a separate transport brief containing the facts needed to move the passenger. This can be accurate and useful without explaining the subject or importance of every meeting.

Extract locations and movement deadlines

For each leg, record the pickup address, destination, requested time and any essential arrival deadline. Include the practical venue or entrance name, not just a confidential internal meeting label. The chauffeur does not usually need the negotiation topic or the attendee biography to find a door. If the event name helps reception identify the guest, share only the part needed for that handover.

Instead of forwarding a diary entry containing negotiation notes, prepare a movement line with the guest’s name, venue, entrance, time and organiser contact. Keep the business background in the original corporate system. The transport instruction remains complete for its purpose while the traveller’s wider schedule is not copied into an unrelated operational conversation.

Use a limited contact chain

Provide the lead passenger’s usable mobile number and the organiser who can approve changes. Add a venue contact only when they have a practical role in arrival or collection. Avoid circulating an entire corporate directory. Tell the traveller which contact will be used for transport so an unfamiliar dispatch or chauffeur message is expected and can be checked against the confirmed booking instructions.

Keep the public pickup identifier appropriate

If a meeting sign or name identifier is requested, agree wording that the passenger will recognise without including unnecessary job titles or confidential event details. Do not claim that a short identifier guarantees privacy; it is simply a practical way to reduce irrelevant information at the handover. Confirm the identification procedure in advance rather than asking a driver to improvise it among arriving guests.

Separate changes from background explanations

Dispatch needs to know that a destination or pickup time has changed, who is travelling and whether luggage or stops are affected. A lengthy explanation of the business discussion is usually unnecessary. Send the booking reference and the revised operational details, then obtain acknowledgement. Keep any confidential reasoning within your company’s own communication process so the transport conversation remains clear and limited to the service.

Review the material after the event

Check which transport records your team needs for administration and follow your organisation’s retention practices. Do not leave unnecessary attachments in shared travel channels simply because they were convenient during the event. If you need to correct a booking record, use its reference and describe the correction precisely. Davos Taxi’s website is an independent transport service; event participation and private business arrangements remain separate from the journey request.

Questions about this journey

Does dispatch need the full executive calendar?

Usually a separate movement brief with addresses, times, passengers and contacts is sufficient.

Should the pickup sign show a job title?

Only request information that is useful and appropriate for identifying the passenger.

Can a short identifier guarantee confidentiality?

No. It reduces unnecessary detail but is not a confidentiality guarantee.
