A conference agenda may show a speaker appearing at eleven, while the person actually needs to be inside a preparation room much earlier. A transport booking based only on the public session time can therefore look correct and still fail the speaker. Build the ride around the earliest required preparation commitment, then check the separate steps leading to it.
Find the first real obligation
Ask the session producer for the speaker’s reporting time, reporting room and named contact. Clarify whether microphone fitting, slide checks, a briefing or a rehearsal happens before the session. Write these as separate appointments rather than hiding them in a note beside the talk. The transfer destination should support the reporting arrangement, even when the audience enters the building through a different door.
For example, a guest listed for a morning panel may first need to meet the moderator and test a presentation. Put that earlier appointment into the transport brief as the reporting deadline. The audience timetable can remain useful background, but it should not be the only clock controlling the car journey.
Distinguish three arrival moments
Record the requested vehicle arrival at the pickup, the intended venue handover and the required inside-ready time. These are three different moments. A speaker carrying presentation materials may need a practical unloading arrangement as well as a walk to registration. Discuss the operating margin with dispatch and the producer; do not assume a published route estimate includes time inside the conference venue.
Keep presentation items with the right person
List the laptop, adapters, notes and any small presentation objects that travel with the speaker. Decide whether an assistant carries a duplicate of essential files. The point is to prevent the most important item staying in a hotel room or travelling in a colleague’s later car. Tell dispatch about unusually shaped materials before vehicle selection rather than discovering a space problem at pickup.
Make a late change easy to interpret
If the session moves, send the changed reporting time first, followed by the revised venue or entrance and the booking reference. Ask the transport team to acknowledge the operational change. A calendar invitation accepted by the speaker does not automatically update the driver’s assignment. Keep the producer informed of the revised handover plan, especially if the driver cannot reach the original entrance.
Give the return its own decision point
A speaker may remain for questions, media or a private conversation after the stage appearance. Agree when the assistant will confirm readiness for the next ride and what happens if the discussion overruns. A fixed collection and a vehicle retained for an agreed period are different arrangements. Davos Taxi reviews the requested service before confirmation, so include the likely post-session pattern in the original brief.
Questions about this journey
Which time belongs in the pickup request?
Enter the requested vehicle pickup time and explain the earlier venue reporting deadline in the journey brief.
Can the car use the speaker entrance?
Only if the venue and current access arrangements permit it. Give the exact entrance and let dispatch review the handover.
Does a later session time automatically change the car?
No. Send the transport change with the booking reference and obtain acknowledgement.
