Taxi after a Davos event: agree when passengers will actually be ready

Book a taxi after a Davos event for the time passengers can actually reach the car. Allow for coats, conversations and luggage, then agree how changes are reported.

A conference programme ending at a particular time does not mean every guest is standing at the collection point at that moment. People may still collect coats, speak to a host or locate colleagues. For an organised Davos departure, define what ready means and who communicates it. A clear readiness process is useful whether the collection is fixed in advance or part of an agreed flexible service.

Identify what happens after the final session

Ask the organiser about any closing discussion, cloakroom collection or other step between the programme ending and the guests reaching the entrance. Include these tasks in your own departure plan. Do not ask dispatch to interpret the event agenda as a pickup instruction. If a guest must leave earlier, agree that with the event host and arrange a distinct movement rather than assuming the whole group will be available.

Choose an indoor assembly point

Where the venue allows it, tell the group where to gather before moving to the agreed vehicle handover. The lead passenger can then check who is present without spreading the party across several entrances. Make sure the assembly instruction does not obstruct the venue or imply a private waiting area has been reserved. Use the host’s practical guidance and keep the outside collection point in the same message.

For a delegation with several vehicles, assign groups before leaving the indoor assembly point. A short list showing which lead passenger belongs to each car is usually clearer than changing seats outside the venue. Keep colleagues who need to travel together in the same planned group, and check the luggage allocation at the same time.

Use one lead passenger’s readiness message

The lead passenger should confirm that the listed travellers and bags are together and ready to follow the pickup instruction. Several individual messages saying I am ready can create a false impression that the entire group is assembled. If someone is missing, report the actual situation and ask the organiser to decide whether the group waits or a separate arrangement is needed. The chauffeur should not decide which colleague can be left behind.

Match the message to the booked service

For a fixed collection, aim to be ready at the agreed time and tell dispatch promptly if there is a problem. For an agreed on-call or retained arrangement, follow the procedure and response expectations in the confirmation. Sending a readiness message does not by itself establish immediate vehicle availability. Ask about the practical process before the event instead of inventing a waiting or response allowance on the day.

Keep the departure count simple

Before boarding, confirm the passenger count and destination with the group lead. If two vehicles are used, divide people and bags deliberately so neither car is waiting for someone assigned to the other. Once the final group has left, the organiser can mark the movement complete. Retain any revised instruction with the booking reference so a late question about who travelled can be answered from a clear operational record.
