Davos meeting transfer when the host cannot be reached

If a Davos meeting host cannot be reached, use an agreed receiving contact or entrance plan. Give the taxi team clear instructions without assuming venue access.

A guest can arrive at the correct building and still be unsure what to do if the host is in a meeting or their phone is switched off. The transport arrangement should anticipate that possibility. Before travel, identify an alternative contact and a clear handover point so the passenger knows how to continue. This is especially useful when an invitation comes from a person who will also be busy managing the event.

Ask for a second operational contact

Request a reception, event desk or colleague who knows the visit and can help the guest on arrival. Check that the contact is connected to the actual venue and date. A general company switchboard may not know about a temporary Davos meeting. Give the passenger the alternative contact directly rather than keeping it only in the organiser’s email thread.

For a small private meeting, the alternative contact might be another attendee already inside the building. Ask that person to expect the guest and confirm how they can be reached. Giving a name without telling its owner about the role can recreate the same problem when the main host becomes unavailable.

Agree what a completed drop-off means

Clarify whether the journey ends at the agreed vehicle handover point or whether an additional assistance arrangement has been specifically accepted. Do not assume the chauffeur can leave the vehicle, wait indefinitely or accompany the guest through controlled access. If the traveller needs help beyond a normal drop-off, explain the practical requirement before confirmation so the service can be reviewed honestly.

Give the passenger an orientation plan

Send the building name, full address, entrance description and the name of the event or person they are visiting. Where available, use the venue’s current visitor information to support the instruction. Keep the essential details readable offline. A guest should be able to explain their destination to reception even if the host cannot answer and mobile data is temporarily unavailable.

Define the decision if entry is impossible

The organiser should decide in advance whom the guest contacts if the meeting has moved, the entrance is closed or access is refused. Returning to the hotel or travelling to another venue is a new operational instruction that may require a revised fare and available vehicle. Do not promise that the original car can simply remain until the issue is resolved unless that waiting arrangement has been confirmed.

Report the handover without overstating it

A useful completion message distinguishes arriving at the building from meeting the host inside. The passenger or organiser can confirm the latter when it happens. Avoid asking the driver to report a successful meeting that they cannot observe. If a problem occurs, retain the factual details and contact times so the organiser can resolve the immediate issue and improve the instructions for the next guest.

Questions about this journey

Does the driver wait until my host appears?

Only if the relevant waiting or assistance arrangement is included in the confirmation.

Who should provide the backup contact?

The meeting host or event organiser should identify someone who can assist at the venue.

Can I change destination after arrival?

Ask dispatch; a new movement depends on availability and an agreed arrangement.
