A visiting executive may travel with an interpreter for meetings in Davos. That person is part of the passenger plan and may have a different schedule from the executive. Confirm where they join, which legs they accompany and where they leave. Doing this early prevents an apparently simple sedan booking from becoming a capacity or timing problem at the first collection.

Count the interpreter as a passenger

Include the interpreter in the total headcount for each movement, along with their luggage or work bag. If they join only for part of the day, show that explicitly. A category selected for the executive and two colleagues may not have another seat available. Ask dispatch to review the full party before confirming the vehicle rather than treating the interpreter as an incidental addition to the service.

Identify the interpreter’s joining point

The interpreter may arrive independently at a station, hotel or venue. Provide the exact joining location and requested time, and clarify whether the executive’s car is expected to collect them. A shared ride with an additional pickup is not the same as meeting indoors after separate journeys. Check that the interpreter receives their own instruction and a usable contact for resolving a delayed arrival.

Separate language preference from interpretation

Tell dispatch the preferred language for ordinary pickup coordination. Do not assume this means the chauffeur will interpret a business discussion or that a particular driver language is guaranteed. Professional interpretation is an arrangement between the traveller and the relevant service provider. Keep the transport request focused on practical communication, passenger movements and any needs that affect the vehicle or meeting point.

Plan where preparation can happen

If the executive and interpreter need time together before a meeting, include that requirement in the itinerary without assuming the vehicle is an appropriate confidential workspace. Confirm any essential facilities separately. Important preparation may be better arranged at the venue or hotel. The organiser should decide this based on the meeting’s needs, while dispatch receives a clear collection and arrival plan rather than an undefined request to create extra time en route.

Give the interpreter an independent end point

The interpreter’s work may finish before the executive’s dinner or final appointment. Include their onward destination or confirm that they will arrange it separately. If the interpreter carries shared documents or equipment, decide who retains them when the party splits. Close the day with a passenger list for each remaining journey so nobody assumes the interpreter is still travelling with the executive after their assignment has ended.

For example, the interpreter may finish after the afternoon meeting while the executive continues to dinner. The next passenger list should remove the interpreter, and their own departure should be clear. This avoids keeping a seat unnecessarily reserved in one car while leaving the interpreter without an agreed way to reach their destination.

Questions about this journey

Does the interpreter need to appear in the passenger count?

Yes, on every leg they join, together with their luggage.

Can the chauffeur replace an interpreter?

Do not assume so. Driver communication and professional interpretation are separate arrangements.

Can the interpreter join halfway through the route?

Request the extra pickup explicitly and confirm the revised itinerary.
