A business invitation might identify a company house, sponsor lounge or event name rather than the building’s normal name. That is enough for an attendee to recognise the invitation, but not necessarily enough for a driver to locate the permitted handover point. Translate each event label into a practical location before it becomes part of the transport itinerary.

Keep both the event and property name

Save the invitation’s event name together with the permanent building or hotel name. This gives the traveller and dispatcher a shared reference if temporary signs are missing or several functions use the same building. Add the full street address and postcode from the organiser. A familiar brand name alone can refer to more than one reception, meeting room or temporary venue during a busy week.

Ask which entrance visitors actually use

The reception door, meeting entrance and vehicle drop-off can be different. Ask the host to specify the visitor entrance and any instructions for approaching it. Davos Congress publishes visitor information and entrance overviews, which illustrates why a venue name alone is not a complete arrival instruction. Use the organiser’s instructions for the particular event rather than choosing a door from an old photograph.

Check the map pin against the written address

Compare the location link with the street address and entrance description. If the pin marks the middle of a large property, ask the host for a more precise meeting point. Keep a screenshot as an orientation aid, but send the written address as well. A map link can open differently on another device, while an address gives dispatch something stable to verify.

If the invitation says a company lounge but the street number belongs to a hotel, keep both descriptions in the final instruction. The passenger recognises the event, while the written property address anchors the journey. Ask the host to resolve any disagreement between the invitation, map link and reception instructions before departure.

Name the person who can resolve uncertainty

Include an on-site host or reception contact who knows the event and can answer a practical arrival question. Distinguish that person from a general corporate switchboard or an organiser working in another country. Share only the contact information needed for the handover. If the host changes, update the transport brief before the traveller leaves the previous appointment.

Reconfirm temporary arrangements before departure

Temporary venues and event entrances may change. On the day, check the latest organiser message before asking the passenger to leave their hotel. If the stated drop-off is not available, dispatch and the host need to agree a permitted alternative. Davos Taxi does not acquire special entry rights through the event name; the final arrangement must fit the access rules applying to that visit.
