A family picnic may sound like a light outing until every household brings its own basket, cool bag, blanket and stroller. The total load can be much larger than the organiser expects. Before arranging a Davos road journey, collect one complete list of people and belongings, then choose the vehicle with that list in mind. The picnic location and any local facilities should be checked separately with the relevant operator or visitor information.
Agree what each household is bringing
Ask every family to list the bags and rigid containers it intends to bring, including their approximate size. Shared equipment should have one named owner so it is not counted twice or forgotten altogether. Add children’s seats, strollers and mobility aids before making the request. A basket or cool box may not fit into spaces left around ordinary bags, so describe those items instead of reducing the whole load to a number of suitcases.
Keep the road journey distinct from the outing
Choose a permitted road drop-off and confirm how the party reaches the picnic location from there. A pleasant site shown on a tourism page may involve a walk or a mountain connection. Do not assume the vehicle can drive directly to it. Check current access, facilities and any relevant local rules with the place responsible for the site; a car booking does not reserve a table, shelter, cooking place or activity space.
Make the return load manageable
Plan how containers and other belongings will be packed after use. Bring suitable bags so the return does not depend on loose items being placed around passengers. The group organiser should know who is carrying shared equipment back to the road. If some participants leave earlier, decide which belongings go with them before they depart. This prevents the final vehicle collecting fewer people but unexpectedly carrying the entire group’s original load.
Give the collection a clear endpoint
Tell dispatch the exact road pickup, expected readiness and final destination. If the picnic lasts longer than planned, request a change before the original collection time and wait for acceptance. Ordinary vehicle hire is not automatically flexible waiting throughout the outing. If you want a vehicle available for a longer programme, describe the whole itinerary and ask which arrangement can be quoted rather than relying on an informal extension.
Use the same checklist twice
At the start, count each household’s bags and the shared equipment as it goes into the vehicle. At the end, repeat the count before the car leaves. Check that strollers and detachable accessories belong to the correct family, especially when relatives share similar items. Keep the transport confirmation available to the organiser and make sure any later return journey reflects the people and load still travelling, rather than an outdated morning list.
